Privacy Policy
1. Who this covers
This policy describes information processed by the Nexus Engine Discord bot and server dashboard. Discord operates its platform under its own Privacy Policy. The server owner chooses whether to install the bot and enable each module.
2. Information processed
- Dashboard sign-in: when you sign in with Discord, the dashboard uses your Discord account ID and username plus the server list and permission flags Discord returns, so it can show servers you manage where Nexus Engine is installed. The short-lived sign-in token and dashboard session are held in memory on the bot host and expire; they are not stored in the bot’s SQLite feature database.
- Discord and server identifiers: server, member, channel, role, and message IDs needed to run enabled features. The bot may request basic Discord profile details such as usernames when displaying moderation cases, applications, leaderboards, or staff logs.
- Server configuration: enabled modules and selected channel and role IDs, stored in a local database on the computer running the bot.
- Moderation records: warning reasons, affected member and moderator IDs, timestamps, and automated filter outcomes when an action is taken.
- Community feature records: level and XP totals, economy balances, inventory purchases and cooldown times, poll votes, giveaway entries, role panel settings, ticket metadata and staff claims, temporary-room ownership, and reminder text, destination, and due time.
- Tickets and applications: ticket messages remain in the Discord ticket channel. Application answers are sent to the server’s configured submissions channel. These message contents are not stored in the bot’s local database by the current implementation.
3. Message content, voice, and IP addresses
When the server enables message-based filters or text triggers, the bot reads message content in memory to check the configured rule. It does not save ordinary message text as a chat history. If a filter acts, the bot may store the member ID, message ID, rule reason, action result, and time, and may post a moderation notice in the server’s configured staff-log channel. Ticket transcripts can be generated on request from up to the last 100 messages and sent as an ephemeral Discord response; the transcript is not saved in the bot’s local database by this feature.
The bot does not record voice audio. It processes voice-channel events to manage temporary rooms and operate the optional music feature. Nexus Engine does not store IP addresses or provide an AI chat feature. Discord, the computer running the bot, and network providers may process technical connection data under their own policies.
4. Where information is stored and shared
Feature records are stored in a SQLite database on the operator’s computer. Information needed to provide a feature is sent to Discord’s API, and Discord-hosted messages, tickets, logs, and application answers remain subject to Discord and server retention controls. If the optional music feature is used, the media source may also process the search or media link needed to play a track. Nexus Engine does not sell personal information or use it for advertising.
5. Retention and deletion
Records in the local database can remain until the relevant feature removes them or the operator deletes the database. Reminders are removed after their scheduled send attempt; ticket metadata and claims are removed when a ticket is successfully closed. The close flow deletes the Discord ticket channel and its messages when the bot has permission. Warnings, economy and level records, poll and giveaway records, and other feature data may remain until the operator or server administrator removes them. Deleting local database records does not remove copies of messages, transcripts, or applications already present in Discord.
6. Your choices and requests
You can choose not to use a feature, stop interacting with the bot, or leave the server. Ask the server owner or moderators to remove a record or delete Discord-hosted content. The server operator controls access to the local database and can remove its stored records. Discord account information and Discord-hosted data are also subject to Discord’s own tools and policies.
7. Security and age
The bot operator should protect the computer, database, Discord bot token, and staff channels from unauthorized access. No method of storage or transmission is guaranteed to be perfectly secure. Use Nexus Engine only if you meet Discord’s minimum age and any higher minimum age required where you live. Do not submit sensitive personal, financial, or health information through tickets or applications.
8. Public website and dashboard
The public website is hosted by Cloudflare Pages. The dashboard and its API currently run on the bot operator’s computer and are reached through a Cloudflare Quick Tunnel. Cloudflare may process IP addresses, traffic-routing data, system configuration information, and other request data to deliver and protect both sites, as described in Cloudflare’s Privacy Policy. Nexus Engine does not store visitor IP addresses in its bot database. The temporary dashboard address may change or be unavailable when the operator’s computer or tunnel is offline. The site has no account sign-up, AI chat, contact forms, advertising, or analytics. Discord handles OAuth sign-in and Add to Discord visits under its own privacy policy.
9. Updates and contact
This policy may be revised when features or data practices change. The effective date will be updated. For a privacy question or a request about a server record, contact that server’s owner or moderators, or the operator who provided Nexus Engine.
